Fine Arts

George Mason University maintains insurance for its fine arts collections. In addition, the university insures art, artifacts and/or rare books which are loaned to the university. Each department is responsible for reporting their inventory of fine arts along with documentation.

Fine arts will include but are not limited to: paintings (oil acrylics, watercolors, pastels, pen and ink etc.), photographs, lithographics, signature works, sculptures (all mediums), historic papers and/or artifacts.

Fine Arts on Loan to Mason:

When a department is in the process of accepting a loan of fine arts on behalf of the university, a copy of the agreement or contract must be forwarded to the Office of Risk Management before any employee or agent signs the documents. A Fine Arts Loan Agreement may be completed, if there are no other contracts or agreements presented. There must be, on file, an agreement that is signed by a University official and the loaner of the fine arts. To insure loaned fine arts please complete and send the Request for Fine Arts Insurance form to the Office of Risk Management, one (1) week prior to the transfer of the fine arts.

Mason Fine Arts on Loan to Outside Agencies: When a department is loaning fine arts to an agency or entity other than George Mason University, a Mason Property on Loan Form must be completed and signed.

Reporting Loss to Fine Arts:

To report fine arts lost, stolen or damaged please follow the below procedure: Contact University Police (993-2810) for loss, stolen, or vandalized fine arts -a police report required. For damaged fine arts an incident report is required. Complete a Report of Loss to Fine Arts and an Incident Report within three workdays of the incident and forward it to the Office of Risk Management (MSN 6D6 or fax 993-2339). The following documents are required for processing a claim reimbursement:

  • Police Report (or report number) and/or incident report.
  • Proof of original ownership by department: copy of original purchase order, fixed assets inventory or Fine Arts Loan Agreement . This should include all appraisals and documentation.

The documents must be forwarded to the Office of Risk Management (MSN 6D6 or fax 993-2339) for processing. Remember all property loss/damage must be reported to the Office of Risk Management as soon as possible.
